Access and company settings

Access and company settings

What it is for

This section covers how to tailor Atlas to a particular kind of business and how to control who sees what. Atlas lets you hide financial amounts from users who do not need them and block any action for a given role — with no code and no developer involved.

Company profile

The first step after registration is to set up the company profile under Settings.

Legal details

Open Settings → Company / Entity → "Legal details" tab and fill in:

  • Legal name and display name (the short name used on documents).
  • Legal form, company registration number, VAT number.
  • Functional currency — the main accounting currency (usually UAH). It cannot be changed once the first journal entry exists.
  • The month the financial year starts.

Line of business (company profile)

Under Settings → "Company profile" section pick one or more lines of business:

  • Manufacturing — adds the "Production" section with all its sub-sections to the sidebar.
  • Trade — adds "Sales", "Purchasing" and "Inventory".
  • Services — adds "Services".

If the company manufactures, sells and provides services all at once, switch on all three. The setting can be changed at any time.

The permission matrix

Go to Settings → Permissions. This is a matrix: permissions (actions) down the rows, user roles across the columns.

Standard roles

Role What it covers
Owner Every permission, no limits, not editable
Administrator Every permission, including settings and user management
Accountant Financial and operational accounting, no administration
Viewer Read only, no changes at all

Turning a permission on or off for a role

  1. Find the permission in the list ("Sales — Post document" or "Purchasing — Create", for instance).
  2. Click the cell where the row meets the role — the tick appears or disappears.
  3. Changes accumulate locally. Click "Save roles: N" and they are all written at once.

Permissions are grouped by module: Sales, Purchasing, Inventory, Production, Services, Cash, Bank, Payroll and so on. There are a lot of them — use search or scroll by group.

Hiding financial data

When a role has no access to financial amounts (a manager sees orders but not prices, say), Atlas shows "—" (an em dash) instead of the number. The manager still sees the document list, statuses and counterparties, but no amounts. This is not a glitch — it is deliberate suppression.

To switch financial visibility on or off for a role, use the "Field sensitivity" section under Settings → Permissions → "Fields" tab: pick the model type and the sensitivity level of the field (public, internal, financial).

Managing users

Open Settings → Users and roles:

  1. Click "Invite user" and enter an email. The invitation is sent to that address.
  2. Once accepted, the user appears in the list.
  3. Click "Assign role" and pick a role.
  4. To revoke access, delete or deactivate the user.

Tips

Start with the company profile. The line of business determines which sections appear in the sidebar — that is the first thing every user sees.

Do not give the "Owner" role to operational staff. It has access to everything, including irreversible operations such as closing periods and changing permissions.

"Viewer" is a safe starting point for new people. Let a newcomer look around first; once it is clear which actions they actually need, add those specific permissions.

Re-check the matrix after switching on a new module. If you enabled "Manufacturing" in the company profile, make sure the roles have the permissions they need in the "Production" section of the matrix.
